Our client is a leader in the pharmaceutical industry for over 25 years. They are actively looking for an Administrative Assistant to support the HR team. The Assistant will offer administrative support to the HR Managers and HR Director in addition will act as a key contact for employees and managers of the Global Operations Division.
Offers administrative support to HR Director and Managers
Responsible for meeting with new employees on a weekly basis to ensure completion of hiring related paperwork
Prepares all change notices issued in the department following changes in work conditions, salary, positions, etc.
Coordinates preparation of hourly employee and quality control employee salary adjustments by extracting list of salary revisions due from HR
Acts as a key resource person for employees
Called upon to respond to various questions from employees and managers regarding vacation, work conditions, disability, group insurance, RRSPs, etc.
Responsible for the preparation of bi-annual Global Operations divisional meetings with a team of Administrative Assistants. Handle all logistics, presentation and communications.
Ensures processing of salary revisions for employees returning from sick leave, maternity leave, disability, etc.
Prepares various lists and reports on a regular or ad-hoc basis
Manages HR Directors agenda and e-mail
Coordinates Senior HR Directors agenda and schedules meetings with various internal/external clients upon request
Organizes interviews between HR department and candidates. Prepares all hiring related paperwork (offer letter, etc.).
Schedules medical exams and reference checks for candidates.
Follows up on divisional employee development plans (EPDR)
Follows up on Boomerang recognition process
Ensures preparation of new employee packages
Ensures job posting bulletin board is up to date
Ensures signature and payment of various invoices for the department
Translates various documents from French to English
Performs other various tasks upon request
REQUIREMENTS
Certificate in Human Resources (asset)
Minimum 3 years experience in similar position in
Above-average knowledge of software programs of Microsoft Office
Good knowledge of Microsoft Outlook
Experience with HRIS software (asset)
Excellent interpersonal relations
Ability to prioritize and handle various projects simultaneously
Ability to deal with pressure
Bilingual (French/English)
