Summary:
The On-site Coordinator is a part-time/contract position (September-June) that supports all the on-site activities required to execute a successful conference. You would be required to work 1-3 conferences per month.
Core Responsibilities:
• Receiving and unpacking of all conference materials from the boxes arriving from Toronto Office
• Set-up and organize registration desk
• Assembling CD Rom and conference materials into folders
• Inserting prepared name badges into badge holders
• Loading speaker presentations from a USB key to a laptop computer in order of presentation
• Ensuring the setup of the laptop and projector when required
• Registering delegates and ensuring they have their badges and all relevant conference materials
• Monitoring the flow of the event from start to finish
• Collecting payments when required and following up with Customer Service
• Delivering the opening remarks at conferences when CI staff is not present
• Greeting and directing media, speakers and delegates onsite and guide them accordingly
• Manage all inquiries and requests on site as required
• Packing and shipping conference materials back to the Toronto Office
• Other duties as required
